Admin Tool Tips – Export Items, Groups & Users from ArcGIS Online to CSV

The following “how to” provides a quick look at how easy it is to export items from ArcGIS Online via CSV – note, this can enable you to perform additional data changes and then round-trip (Import) back into your account.  So, indeed it is possible to export any filtered or browsed list within the application to CSV. This functionality is available and simple but somewhat overshadowed by the abundance of powerful features found in the application.

Start your instance of Admin Tools for ArcGIS – When the application was first provisioned from the ArcGIS Marketplace you may have bookmarked the launch url, if not you can launch the app from http://apps.geopowered.com/admin-tools/basic/ – this is the url you will want to bookmark.

Upon launch of Admin Tools you’ll be prompted to provide permission and login to your ArcGIS Account

To begin, select the Item Tools Option, then Export items to CSV

Why
Exporting information to CSV can be very useful for administrators of ArcGIS Online organizations who have hundreds or even thousands of items, groups and users and need the ability to filter this information by certain attributes, export that information to csv and use it for auditing purposes. It can also prove quite useful for planning out administrative activities before executing them within the Admin Tools for ArcGIS Online application.
Example Scenario – If an ArcGIS Online Account has suffered from inconsistent management practices, and some logins have been generated without good attention to specific parameters. It can be a very hard thing to manage especially if there are hundreds of logins. Only 10 can be seen at a time within ArcGIS Online so a CSV with as much attribute data as possible would be great for being able to plan a strategy for taking care of the problem.

Where
The “Export to CSV” command can be found in the bottom left corner of most all the Query Filter tools within the application. In some cases, where the list of items is very long, you may need to scroll to the end of the list to expose the export to CSV command. From here, you still have the filtering capabilities to pair down the list however you like by Title, Group, Owner, Tag, etc. You also have the ability to choose what attribute fields of the items you would like to view. The export will actually export all attributes available. At this point, clicking on the Export to CSV command will export the filtered list you have created to a csv file. This file can then be opened in applications such as Excel.
